The Department of Record Keeping and Control of the Regional State Administration (hereinafter referred to as the Department) is established by the head of the regional state administration in accordance with the Law of Ukraine “On Local State Administrations”.

In its activities, the Department is guided by the Constitution of Ukraine, laws of Ukraine, acts of the President of Ukraine, the Cabinet of Ministers of Ukraine, ministries, other central executive authorities, and orders of the head of the regional state administration.

The department includes:

Department of Automated Records Management System;

Department of Document Processing:

Department of Control.

Main tasks and directions of the department's work

Development of a unified procedure for documenting management information and working with documents in the regional state administration regardless of the form of their creation.

Organization of office work in the RSA office.

Control over compliance with uniform requirements for the preparation of documents and organization of work with them regardless of the form of their creation in the context of the introduction of electronic document management.

Control over the implementation by the departments and divisions of the RSA, structural subdivisions of the RSA, district state administrations, territorial bodies of ministries and other central executive authorities in terms of exercising the powers of local state administrations and local self-government bodies in terms of exercising the delegated powers of executive authorities of acts and orders of the President of Ukraine, the Cabinet of Ministers of Ukraine, the Verkhovna Rada of Ukraine, orders of the Office of the President of Ukraine, acts of ministries, and

3 Ensuring electronic correspondence between the regional state administration and the Office of the President of Ukraine, the Secretariat of the Cabinet of Ministers of Ukraine, executive authorities, and other state institutions through the system of electronic interaction of executive authorities.

Organizational and technical support for the meetings of the board of the regional state administration, staff meetings held by the head of the regional state administration.

Keeping archival files in the RSA office.

Making entries on amendments, additions, expiration or cancellation in the original orders of the head of the regional state administration, orders of the head of the regional state administration, including those stored in the archive of the regional state administration.

Providing advisory and methodological assistance to the office, structural subdivisions of the RSA, territorial subdivisions of ministries and other central executive authorities, district state administrations, executive committees of city councils on issues of record keeping and control.

Developing the nomenclature of files of the regional state administration.

Preparation of draft resolutions and instructions of the head of the regional state administration, orders of the head of the regional state administration on issues within the competence of the department.

Preparation of information, analytical and other materials on issues within the competence of the department.
