Electronic tracking of employment history gives citizens the opportunity to:
🔸 securely store their insurance (employment) record and check it at any time;
🔸 minimize the risk of losing or damaging paper-based employment records;
🔸 in the future — apply for a pension without personally visiting offices of the Pension Fund of Ukraine.
How not to lose your service record
Before January 1, 2004, employment history is confirmed by entries in a paper employment record book.
After January 1, 2004, service is calculated automatically — based on data from the register of insured persons.
Ukrainian legislation provides that the Pension Fund of Ukraine adds missing information about employment history to the register based on digitized paper employment records or other documents issued at the place of work, service, education, or by archival institutions.
👉 Therefore, individuals who have work experience before 2004 must обязательно digitize these periods so they are taken into account when assigning a pension in the future.
Do pensioners need to digitize their records?
Non-working pensioners do not need to digitize their employment record books, as their employment data is already held by the Pension Fund and stored in their pension files.
In addition, pensions for working pensioners are recalculated automatically every two years, and all necessary data on insurance record is transferred to the Pension Fund registers without the person’s involvement.
Are there risks if digitization is delayed?
❗ The deadline for digitizing employment record books is June 10, 2026.
However, if the employment record is not digitized by this date, the service record is not lost. The paper employment record book will remain a valid document confirming employment history.
