Electronic employment records give citizens the opportunity to:
- securely preserve their insurance record and review it at any time;
- minimize the risk of losing or damaging employment information contained in paper documents;
- in the future, apply for a pension without having to visit a Pension Fund of Ukraine office in person.
How to Protect Your Insurance Record
- Employment service before January 1, 2004 is confirmed by entries in the paper employment record book.
- Employment service after January 1, 2004 is calculated automatically based on data from the State Register of Insured Persons.
Under Ukrainian law, the Pension Fund of Ukraine enters missing employment history into the register based on digitized paper employment record books or other documents issued by employers, military service authorities, educational institutions, or archival institutions.
Therefore, anyone who has employment history before 2004 should ensure that these periods are digitized so they will be included when their pension is calculated in the future.
Missed the Deadline?
The five-year period for digitizing employment record books has ended, but there is no need to worry.
If, for any reason, you did not convert your employment record book into electronic format by June 10, 2026, no penalties apply. Your insurance record is not lost, and your paper employment record book remains an official document confirming your employment history.
The digitization process is continuing. The Pension Fund of Ukraine and employers are still digitizing employment records as part of their regular work. You may submit scanned copies of your employment documents at any convenient time.
