Before submitting scanned copies of employment record books for digitization via the Pension Fund of Ukraine's electronic services web portal, they must be thoroughly audited. All entries in the employment record book must comply with the requirements of the Instructions on the procedure for maintaining employee employment record books https://t1p.de/v71c0.
What to check first:
The title page (first page) must contain:
🔹 the employee's surname, first name, patronymic, and date of birth (written in full, without abbreviations);
🔹 the signature of the work record book owner confirming the accuracy of the data;
🔹 the signature of the person responsible for issuing work record books;
🔹 the seal of the institution that first filled out the employment record book.
If the surname, first name, patronymic, or date of birth are incorrect, changes can be made at the last place of employment on the basis of relevant documents or through legal proceedings.
Checking employment records:
🔸 All records of hiring, transfer, or dismissal must be correct and correspond to the original orders.
🔸 If a record is made with an error, it is corrected by the enterprise where it was entered.
🔸 In the event of the liquidation of the enterprise, the correction is made by the successor, and in its absence, by the relevant archive.
